End of term

Copier lease ending soon? What you can do

A copier agreement usually finishes one of four ways. The right one depends on how your agreement is worded and how hard the machine still works. Send it in for a plain answer on where you stand.

  • Start with the notice clause
  • Four possible endings
  • Send us the agreement
  • No obligation

Step one: the notice period

Plenty of copier agreements need written notice ahead of the end date, sometimes several months ahead. Without it they just carry on at the same payment. Find the clause covering the term, renewal or notice, and diarise the date.

Clause hard to find, or hard to read? Upload the agreement below and the clause will be found for you.

Find the notice date first. Every option hangs on it.

Four ways an agreement finishes

  • Return it and upgrade. The old machine goes back and a new agreement starts on a newer one. Often the payment is similar or lower, and the machine more current.
  • Keep it on new terms. If the machine still does the job, some agreements allow a lower payment or a buyout. It turns entirely on the end terms.
  • Step to renewed or refurbished. Printing less than before? A renewed or refurbished machine on rental can lower the payment while the output quality holds.
  • Buy outright. Want to own the next one? The cash price comes beside the rental figure, ready to compare.

Have your agreement read

On a lease, a rental or a managed print contract now? Holding a quote you are unsure of? Upload it. You get a plain reading of your position: the cost per page, any monthly minimum, the end date, the notice required, and what changing would cost.

No obligation. A photo of each page will do.

Signs of a better next agreement

  • A term matched to how long the machine will really stay.
  • Page rates you can verify against the meter readings.
  • No minimum charge set well above your real volume.
  • End terms in writing, so the next decision is simpler.
  • A replacement warranty for the full term, which every machine on our service agreement carries.

Timing the changeover

Delivery is planned around your end date: the new machine arrives as the old one leaves, so there is no long stretch paying for two. Most machines install within about a week of signing, so telling us a month out is plenty. A new model that must be ordered can take longer, and you are told before you sign.

In a CBD or Southbank tower, delivery is booked around the building's loading dock and goods lift times.

Replacement warranty

Machine fails? It gets replaced. Right to the end of the term.

Put any machine on our service agreement and the replacement warranty comes with it. New or secondhand, and whether you rent, lease, finance or buy outright, the rule is the same: should the machine fail, you get a replacement. The cover runs to the final day of the agreement, not the end of year one.

On a new copier the maker's own warranty is usually 12 months, on the hardware only; consumables sit outside it. Beyond that year, your cover is the service agreement. Your agreement sets out the full terms of the replacement warranty.

Questions

When a copier lease ends: common questions

When do I need to give notice?

Your agreement decides. Written notice ahead of the end date is common, sometimes several months before it. Upload it and the notice clause will be pointed out.

Can I keep the copier when the lease finishes?

Sometimes. It turns on the agreement type and its end terms. Some permit a buyout or a lower payment; others require the machine back. Yours can be read and explained.

What if I let the end date pass?

Plenty of agreements just keep billing at the same rate until notice is given. It is often the dearest result, so the notice date is worth guarding.

Will there be two machines to pay for during the changeover?

Delivery is planned around your end date, so any overlap is kept as short as possible.

Is rental the only option?

No. Rental is the most common choice, and it starts from $15 a week plus GST. Leases and finance can be arranged too, and every machine can be bought outright.

The contract has ended but the copier is still here. What now?

Check ownership first. On a lot of leases and rentals the finance company owns the machine and expects it back. If it is yours, keep running it while it suits, or trade it in towards a newer model. Send the agreement over and get a straight answer on where you stand.
